What personal data JINOVA AI LTD handles when you use Jinova, why, and what you can do about it.

Last updated: 1 October 2026

This notice explains what personal data we handle when you use Jinova AI, including our website, console and mobile app. It also explains why we handle it, and what you can do about it. It is information, not a contract — you are not asked to accept it.

Who we are

JINOVA AI LTD is the controller for the personal data we process for our own purposes — running your account and sign-in, billing and payments, preventing fraud and abuse, keeping the service secure and working, and keeping the records the law requires. Registered in England and Wales, company number 17387234. Registered office: 71–75 Shelton Street, Covent Garden, London, WC2H 9JQ, United Kingdom.

The content of your files is different. When you upload a file for us to process — a recording to transcribe, for example — you decide why that content is processed. We process any personal data in it on your behalf, only to provide the service you asked for, under our Data Processing Terms. For that content we are your processor — or your subprocessor, where you act for another organisation — not the controller.

Advertising measurement, if you allow itTo learn whether our ads in ChatGPT lead to sign-ups and credit purchasesYour consent

The content of the files you upload, and of the results we produce from them, is not in this table: we process it on your behalf, as Who we are explains, and Recordings and transcripts below describes what that means for transcription.

In the mobile app, the photos you choose for your recent jobs, and their results, are kept in the app’s own storage on your phone so you can follow and save your work. The app removes them, with its sign-in key and job list, when you sign out or delete your account in the app. Uninstalling the app removes them too.

We do not use your content to train Jinova models. We do not sell personal data.

Advertising measurement is the one advertising use, and it only happens if you allow it. Our ads appear in ChatGPT. If you say yes and you arrived from one of those ads, our servers tell OpenAI when you sign up or buy credit, with the reference for that ad and, for a purchase, its amount and currency. Each report also includes a fixed page address that our servers set for that kind of event — our sign-in page for a sign-up, our wallet page for a purchase. No OpenAI script runs in the console, so OpenAI does not receive or observe the address actually in your browser, its query string, a run identifier or a Stripe payment reference — nor your name, your email address, your files or your results. OpenAI receives this as an independent controller, under its own advertising terms and privacy policy, and may use it for the purposes those terms allow, which include reporting, measurement and optimisation of its advertising services and improving its products and services. Our cookies page lists exactly what is set and sent.

Recordings and transcripts

When you use transcription, the files and results we handle can include:

  • the audio or video recording you upload;
  • the speech and voices in it;
  • the transcript and timed segments we produce from it, including the language we detect;
  • personal data about other people who can be seen or heard in the recording, or who are talked about in it; and
  • information that may be special-category personal data, such as details of someone’s health, religious beliefs or political opinions, depending on what is said.

We process this content on your behalf, only to provide the service you asked for, under our Data Processing Terms.

We use a recording to produce its transcript. We do not use anyone’s voice to identify them.

If you upload a recording that concerns other people, you are responsible for having the right to do so — an appropriate lawful basis, and any notices, permissions or consents the law requires.

Card payments

Card details are entered on Stripe’s own payment page, not on ours. We never see or hold your card number. We keep the payment reference Stripe gives us so we can match a payment to your account.

Who else is involved

Our Service Providers & Subprocessors page lists the companies we use, what each one does, and which of them can receive your uploaded files. It also explains how your files move, including the limited parts of a file our own service reads in order to measure a recording, check a result before you are charged for it, and show you a transcript. We may also share information where we are legally required to.

How long we keep things

These are the periods after which content is scheduled for deletion. Automated cleanup runs every day and deletes content once its period has passed; if a deletion attempt fails, it is retried. You can also delete a job’s files yourself at any time it is eligible, which removes them earlier.

WhatScheduled for deletion
A job you started but never uploaded to24 hours after you created it
Files uploaded to a job you never priced48 hours after you created it
A job you priced but never ran7 days after you created it
Images uploaded to a batch you never priced48 hours after the last change you made to that batch
A batch you priced but never bought7 days after the last change you made to it
Your uploaded source files, after a job finishes7 days after it finishes
Results a job produced, including anything left behind by a run that failed30 days after it finishes
Source files of a job where we could not initially determine whether it ran30 days after we settle it — we keep them while the question is open because they are the evidence for it

A batch is measured from your last change, not from when you started it. You build a batch up over time — adding images, changing settings, getting prices — and a clock running from the moment you created it could remove your earlier images while you were still working. So the countdown starts again each time you touch it, and begins in earnest once you stop.

Billing and accounting records are different. We keep records of payments, charges, credit, refunds and the payment references that identify them generally for six years after the end of the company financial year to which the records relate, and longer where we are required to do so by law — for tax, accounting, fraud and security, and legal obligations. Those records are kept even after the files they relate to are gone — which is why a deleted job can still appear in your transaction history.

Keeping a financial record for that long does not mean we keep your uploaded files or results for that long. Those are removed on the schedule in the table above, whether or not a record of what they cost still exists.

When you delete a job

Choosing Delete job & files removes your uploaded files, the results, and the execution records that describe your media.

  • It is not instant to complete. Upload links already issued cannot be cancelled, so we wait until none can still work before we tell you the files are gone. Until then the console says deletion is in progress, and you can no longer reach the content.
  • We keep a limited record of the job itself — enough to explain a charge: that it existed, what it cost, and when. We do not keep your files, your results, or details describing them.

We cannot promise that every operational record held by a compute provider is deleted at the same time.

When you delete your account

You can delete your account yourself on our account deletion page or in the Jinova AI app under Account → Delete account. If you cannot sign in, use the Privacy or data request option on our support page and we will help once we have verified that the account is yours.

  • At once, we disable the account. We remove your email address, name and profile picture, remove Google or Microsoft sign-in links, end active sessions, revoke API keys and block new purchases, uploads and runs from being started. A payment that was already in progress before the deletion request may still settle and be credited to the account.
  • Paid jobs that have not started are cancelled and any held credit is released. A job that has already started is allowed to finish and is charged as agreed. We then remove your uploaded files, results and the job settings and file details associated with them. Upload links that were already issued cannot be revoked immediately, so final deletion usually takes a little over six hours and may take longer if a job is still running.
  • We retain some records after deletion. Billing, payment, credit, refund and accounting records are generally kept for six years after the end of the company financial year to which they relate, and longer where required by law. We also retain limited records where needed to evidence charges, the Terms you accepted, rights confirmations, security events and legal obligations. We remove your direct profile identifiers, but retained records may still use an internal account identifier and payment references where necessary.
  • Deleting your account does not automatically refund unused credit. Paid credit that you have not spent may be refundable on request under our Credit & Refunds policy. Contact support if you want to request a refund.

Security

Files you upload are stored in private storage that is not publicly accessible. A download goes through a short-lived link we issue to you, for one file, which stops working shortly afterwards; a transcript can also be shown to you in the console without a download. Connections to Jinova and to the services we use are encrypted in transit. Access to our systems is restricted to people who need it.

Your rights

You can ask us to give you a copy of your personal data, correct it, delete it, restrict or object to how we use it, or send it to someone else. You can delete your whole account yourself — see When you delete your account above. Where we rely on your consent — analytics, and advertising measurement — you can withdraw it at any time, using the Cookie preferences link in the footer.

Email support@jinovaai.com, or use the Privacy or data request option on our support page. We may need to check who you are before we act.

If you are in someone else’s content — a recording a customer uploaded, for example — that customer decides how it is used, so ask them first. If you contact us instead, we will tell you that, and let the customer know about your request where we can identify them.

If you are unhappy with how we have handled your data you can complain to the Information Commissioner’s Office at ico.org.uk, or by calling 0303 123 1113. We would rather you told us first so we can put it right.

Changes to this notice

If we change it we will update the date at the top. If a change matters to you, we will do more than that.
